ESOT actively collaborates with National and Regional Transplant Societies all over Europe and beyond, as well as other scientific and medical societies with the aim to structure and streamline transplant activities in Europe and worldwide.

To this end, ESOT established the COLLEGE OF THE PRESIDENTS  OF THE EUROPEAN NATIONAL TRANSPLANT SOCIETIES (CENTS), which is an active group working to coordinate and extend collaboration on pan-European projects related to transplantation.

The CENTS Terms of Reference are below.


1. Rationale

The European Society for Organ Transplantation (ESOT) has established over the last decade a close collaboration with the European National Transplant Societies (NTSs) aiming to serve their common goal: to advance the field of transplantation in Europe that will result in better quality of care for patients.

A session has been organised over the last few years at the ESOT Congress between the ESOT Executive and delegations of the European NTSs. This session has been very successful and has generated great prospects of collaboration especially in the fields of training / education, active membership and joint activities at the ESOT Congress as well as the National Transplant Congresses.

At the ESOT-NTSs session at the ESOT Congress in Brussels in September of 2015, it was suggested that in order to further advance the collaboration between ESOT and the NTSs, the assembly of the Presidents of the NTSs should have a more formal character and designated role in the overall ESOT structure and governance. The proposal to establish the ESOT College of the Presidents of the European National Transplant Societies was received with great enthusiasm and was unanimously approved.

It was agreed that ESOT would conduct a survey among the NTSs to explore the potential areas of collaboration between ESOT and the NTSs which will dictate to a great extent the scope and format of the work of the College. The results of this survey/ consultation were presented at the ESOT Council meeting in Amsterdam in December 2016. The ESOT Council approved the proposal to proceed with the establishment of the ESOT College of the Presidents of the European National Transplant Societies; the draft terms of reference were to be reviewed by the ESOT Council in spring of 2017 aiming to proceed with the first formal session of the new body at the 2017 ESOT Congress.

2. Establishment and scope

ESOT establishes the College of the Presidents of the European National Transplant Societies (from there on and for the purpose of this document the College) aiming to advance collaboration of transplant professionals across Europe that will result in better quality of care for patients.

The College has an advisory capacity to the ESOT Council and does not replace in any way the scope, function or decision-making capacity of the ESOT Council.

3. Membership

The members of the College are the duly elected Presidents of the NTSs of the Countries which are members of the Council of Europe. The President of a NTS is entitled to appoint a deputy in the College to attend and act on his/ her behalf if he/ she cannot attend in person the activities of the College; the deputy has to be a duly elected member of the Executive of the NTS.

Presidents of NTS of Countries which are not members of the Council of Europe can be invited to attend the meeting of the College at the ESOT Congress in an observing capacity, aiming to facilitate communication and collaboration of the NTSs across the world.

The ESOT Executive (and other members of the ESOT Council if indicated) attend the meetings of the College and participate in the discussions.

4. The Chair and Secretary of the College

The members of the College elect for a period of two years the Chair and Secretary of the College. The election takes place at the meeting of the College during the biennial ESOT Congress. Nominations need to be forwarded to the ESOT Secretary at least 8 weeks prior to the first day of the ESOT Congress. An individual can be nominated for either or both positions but can only be elected in one of the two. The election takes place at the meeting of the College at the ESOT Congress through a secret paper ballot and follows the same process for the posts of the Chair and the Secretary; the nominee who will receive 50%+1 of the votes will be elected. In case where no nominee will receive 50%+1 of the votes, a second vote will take place between the two nominees who received the higher number of votes; a simple majority is then required for a nominee to be elected. Presidents of NTS who cannot attend the meeting can vote through proxy to another President or his / her nominated deputy; a President or his/ her nominated deputy can have only one proxy at the meeting.

The Chair and Secretary of the College:

– Coordinate the function of the College by ensuring that the meetings are organised timely, with a specific agenda, the minutes are kept and communicated to the ESOT Council and the NTSs and any action points from the meetings are carried in an efficient way.

– Attend the ESOT Council in an advisory capacity and with no voting rights.

– Provide a report to the ESOT Council regarding the activities of the College.

– Facilitate fluent communication and collaboration between the College and the ESOT Council and between the NTSs.

5. Meetings of the College

The College meets in a special session every two years at the ESOT Congress.

The Chair and the Secretary can also organise meetings during other ESOT activities (conferences, courses, joint sessions at Congresses of National Transplant Societies) or during other European Scientific Congresses.

Communication can also be facilitated through tele- and video- conferences.

6. ESOT support to the College

ESOT is supporting the College by offering:

– The venue and infrastructure needed for the meeting of the College at the ESOT Congress.

– Administrative support for the activities of the College.

– Communication and networking through the ESOT website, social media etc.

– Facilitation of tele- and video-conferences.

ESOT is not offering financial support to the College in the context of reimbursement of travel and accommodation expenses for the members of the College or expenses for the venue and technical support for meetings that take place outside the ESOT Congress or other ESOT formal events.

7. Review/ revise

The current terms of reference are reviewed and revised every 4 years (or earlier if circumstances dictate so) to ensure that they reflect the experience gained from the function and the activities of the College.
